The Challenge
Integrity Defense Solutions (IDS), a small defense contractor expert at matching technical capability to operational requirements to deliver technology solutions to the warfighter, faced a common challenge: their lean team was stretched thin across business development, capture, and proposal work. RFI and proposal responses typically took several weeks to prepare, and the team couldn't pursue every opportunity that aligned with their capabilities.

Getting reliable, proposal-ready outputs would require significant customization, ongoing prompt engineering, and constant vigilance against hallucinations.

Security was critical. As a defense contractor handling proprietary data, the team needed complete confidence that their information would remain private. GovEagle's FedRAMP Moderate Equivalent certification and commitment to comprehensive data privacy provided that assurance.
The integration with existing tools sealed the decision. Other tools IDS looked at either didn't support GCC/GCC High environments or had SharePoint integrations that weren't reliable. GovEagle’s platform connects directly to IDS’ SharePoint and works inside Word and Excel. IDS didn't have to change anything about how they work.
You guys just really seem to be intensely focused on this singular swim lane. That was enticing.

The Results
Dramatically Faster Preparation
Before GovEagle, a typical RFI response took almost two weeks to develop. Now, the team can produce a strong draft response to most RFI’s within a day, with more complex efforts taking just a few days. Using the Excel Add-In has also accelerated IDS’ pricing work, enabling the team to develop a rough order of magnitude estimate, get it approved, and submit it within a single day.
The preparation time has significantly reduced. I would say probably three or four times increase in preparation speed.

Higher Quality Submissions
Beyond speed, the GovEagle platform has easily integrated into IDS' quality assurance process. After completing their standard color team reviews, Harris performs a final review against the evaluation criteria using GovEagle.
Inevitably, every single time I do this, it'll find one or two areas where I can expand and make things better. I have this extra check now after my standard Shipley reviews, which I find extremely valuable.

Flexibility Across Solicitation Types
While the platform is mainly designed to support proposals developed against traditional solicitation sections like C, L&M, it also accommodates the wide variety of solicitation types/requirements that IDS responds to. When a major opportunity came out that included unique and very specific submission requirements, GovEagle adapted seamlessly by searching through the company's content library to identify the three best past performance examples and generating complete write-ups that the team could refine and submit. IDS won that contract.
That flexibility of not being so tied to a certain structure has been huge because every solicitation we go after, the format is different every time.
